The lookup has three steps and the third is the one people skip. Find the tag on the plan. Find the row with that tag in the schedule. Read across the row, and where the row gives a type mark rather than a description, find that type drawn as a small elevation on the same sheet.

The type elevation exists because a table cannot draw a shape. A row can tell you a door is three feet by seven feet in hollow metal with a ninety minute rating, and it cannot tell you whether the leaf is flush, has a vision panel, has a louvre at the bottom, or is half glazed. The type mark points at a small drawing that answers exactly that, and the schedule assumes you will look at it.

Run the three steps in that order every time and the answer arrives without hunting. Run them in a different order, for instance by scanning the schedule for a door that sounds like the one you want, and you will eventually pick the wrong row on a building where several rooms have similar doors.

Reading a door schedule across and down

Reading across a row is reading a specification for one door: the door number, the room it serves, the leaf width and height, the door type, the frame type, the materials, the fire rating and any remarks. That is the natural direction when you have a door in front of you and a question about it.

Reading down a column is a different and equally useful act. Scan the rating column and you have found every rated door in the building without opening a single plan. Scan the material column and you know how much hollow metal is in the job. Scan the remarks column and you find the exceptions, which is where the thing that will surprise you usually lives.

Sizes in a door schedule are given for one leaf. A pair of three foot leaves is a six foot opening on the plan, and the schedule will say two leaves rather than repeating the arithmetic. That trips people up when they compare a schedule width against a dimension on the plan and find a factor of two.

Window schedules work by type, not by unit

A window tag is normally a type mark rather than a unique number, so a dozen identical windows on a plan all carry the same mark. The schedule then has one row for that type giving its size, material, operation and glazing, and the plan is what tells you how many there are and where.

That split is efficient and it catches people out in a specific way: counting rows in a window schedule does not count windows. If you need a quantity, you count tags on the plans and elevations, or you read a quantity column if the set provides one. It also means a change to one window type changes every window carrying that mark, which is exactly why the convention exists and exactly why a change to a window type is worth reading carefully.

Operation matters as much as size. Fixed, awning, casement, hopper and sliding units of the same nominal size behave completely differently, and the operation column is the one that tells you which. Glazing is separate again: a single row can specify insulating glass, a low emissivity coating, an obscure finish or a laminated makeup depending on where the unit sits.

Room finish schedules, read the other way

A room finish schedule is organised by room number rather than by an element. Each row names a room and gives the floor finish, the base, the wall finishes and the ceiling finish, often with the ceiling height alongside. It is easier to read down than across, because the usual question is what the finish is in a particular place rather than where a particular finish occurs.

The room numbers must match the room tags on the plan exactly. A room in the schedule with no tag on any plan, or a tagged room with no row, is a defect worth reporting: it usually means a room was added, split or deleted on a drawing and the table was not updated with it.

Wall finish columns are often given per compass direction within the room, which is one more reason north on the plan is not optional. A schedule saying the north wall is tiled is meaningless until you know which wall that is.

Where the schedule stops and the specification starts

A hardware group code in a door schedule points at a list in the specification giving hinges, closer, lockset, stop, seals and thresholds for that group. The drawings will not tell you which lock; they tell you which group, and the group is defined in a document that is not a drawing at all.

The same handoff happens with finishes, glazing performance and fire rated assemblies. The drawing says where and how big; the specification says what standard it must meet and often which products are acceptable. Knowing which document holds which kind of answer saves an enormous amount of searching, and it prevents the common error of concluding that the drawings are incomplete when they are simply not the place a particular answer lives.

When a schedule and a drawing disagree, that is a real conflict and it goes to the design team. Do not resolve it by preferring whichever one is more convenient, because another trade is reading the same pair of documents and may prefer the other one.
